Presentation Guidelines

Instructions for presenters of talks and posters

Uploading presentations to IUSSI+

IUSSI+ is an opportunity to share your presentation virtually with other IUSSI attendees over a longer period (July 8-September 30, 2022) after the in-person meeting has concluded. To maximize its value to conference registrants, we aim to make all posters and talks available on demand. IUSSI+ will be hosted on the Pathable platform; instructions for uploading talks and posters can be found on the Pathable platform which will be available soon.

  • All posters must be uploaded to Pathable by Thursday, June 30. Presenters are encouraged to include in their upload an audio or video file describing the poster.
  • All speakers are strongly encouraged to pre-record and upload their talks to Pathable by July 8.
  • Everyone who uploads their presentation will receive a social-insect-themed pin at the conference.

In-person talks
  • Presenters must use PowerPoint for their talk slides.
  • Talk slides should be prepared in widescreen format (16:9 aspect ratio).
  • At the conference, speakers must submit their presentations on a USB drive at the Speaker Ready Room (Presidio 1) by 5:00 pm the day preceding their presentation. The presentation file name should follow this format: Room name_Military time_Last Name_Title
    Examples:
Ballroom 21_915–930_Todd_Ants and how they walk
    Ballroom 14_1345–1400_Smith_Bees and their habitats
  • The Ready Room technician will immediately load and review your presentation and return your USB drive once the file has been successfully loaded. The Ready Room will be open for file submission at the following times:
    • Sunday, 3 July: 12:00-3:00 pm
    • Monday, 4 July: 10:00 am-1:00 pm and 3:00-5:00 pm
    • Tuesday, 5 July: 10:00 am-1:00 pm and 3:00-5:00 pm
    • Wednesday, 6 July: 10:00 am-1:00 pm and 3:00-5:00 pm
    • Thursday, 7 July: 10:00 am-1:00 pm
  • Talk time limits will be strictly enforced to keep the concurrent sessions synchronous. Each talk will have 15 minutes total (12 minutes for presentation and three minutes for questions).
  • Use of the microphone is required. Questioners will also be using microphones, but if a question is not spoken into a microphone, repeat the question in your microphone and then answer it.

In-person posters
  • Posters must fit within an area of 43 X 43 in (109 X 109 cm).
  • Posters will be displayed in the San Diego Ballroom. See the program on the conference website for your assigned poster number. Poster boards will be set up from 4:00 pm on Sunday, July 3, and posters can be mounted starting then. Please place your poster on the board with your assigned number, and be sure that the number remains visible.
  • Mounting materials (push pins) will be provided on site.
  • There will be two official in-person poster sessions: Poster Session 1 (Sunday, July 3, 17:30-19:00) and Poster Session 2 (Monday, July 4, 16:30-18:00). During your assigned session, please stand by your poster to discuss your study and answer questions.
  • In addition to the in-person sessions, presenters will have the option of presenting their poster at live, early-morning virtual sessions that will also include posters by virtual attendees.
  • Posters should be left on display for the entire conference, but they must be removed by 5:00 pm on Thursday, July 7.

Virtual talks
  • Speakers in the early-morning online-only sessions will present their talks via the Pathable platform. These talks will also be recorded for on-demand access in IUSSI+. Alternatively, presenters can submit a recorded version of their talk before the start of the conference, following the instructions can be found on the Pathable platform which will be available soon.
  • Virtual attendees who are presenting a talk in a symposium must upload a recorded version of their talk by July 1. Instructions on how to do this will be provided on the conference website.

Virtual posters
  • Presenters of virtual posters will be assigned to one of three early-morning online sessions at which they can interact with online participants, including both those attending in person and virtually. These sessions will be hosted on the Pathable platform.
  • Virtual posters can be composed using any software of choice (e.g., PowerPoint, Keynote, Adobe Acrobat), but the final file must be exported/output in the PDF format. The aspect ratio of your poster (width:height) can be whatever you prefer. But, if you’d like to maximize space in the window that displays the poster, use a size ratio of 2.2 to 1 (width:height). Viewers will be able to zoom in and move around your poster. Output your file in a large enough format (and with sufficient quality) so that attendees can zoom in (using the + button) and maintain quality of viewing. The maximum poster file size is 10 GB, so there is plenty of bandwidth for high-quality files.

Changing or canceling a presentation

To cancel or make changes to your abstract and/or move an in-person presentation to IUSSI+, please fill out this google form or click the button below. If you are making a change to more than one presentation (such as a poster and a talk), fill out the form separately for each presentation (i.e., fill out the information for the oral presentation, then on another line fill out the information for the poster presentation). Updates will be made as soon as possible and will be noted on the document when the request is completed.
